• Greatest threat to many projects is failure to communicate. Other problems often stem from
it.
• Goal of project communications management – ensure timely/appropriate
generation/collection/dissemination/storage/disposition of project information. 3 main
processes:
o Planning communications management - planning
o Managing communications – executing
o Controlling communications – monitoring and controlling
• Keys to good communications:
o Focus on group and individual communication needs
o Use formal/informal methods for communicating
o Distribute important information in an effective and timely manner
o Set stage for communicating bad news
o Determine number of communication channels
• Geographic location/cultural background affect complexity of project communications.
• As number of people involved increases, complexity of communications increases. Number =
n(n-1)/2.
• Every project should include a communications management plan. Contains:
o Stakeholder comms requirements
o Information to be communicated
o Who will receive and produce info
o Methods or technologies for conveying
o Frequency
o Escalation procedures for resolving issues
o Procedure for updating plan
o Glossary
• Important considerations in managing communications:
o Use of technology
o Appropriate methods/media
o Performance reporting
• Three types of communications methods:
o Interactive communication
o Push communication
o Pull communication – info sent to recipients at their request.
• Performance reporting – keeps stakeholders informed about how resources are being used
to achieve project objectives.
• Status report – describes where project is at – vs progress report describes what project
team has accomplished during certain period of time.
• Techniques for improving project communication:
o Developing better communication skills
o Running effective meetings
• Providing examples/templates for project communications saves time and money.
• Lessons-learned report – reflective statement which documents important things an
individual learned from working on the project.
• Project archives – set of organised project records which provide accurate history of project.
• Project stakeholder management – identify all people/organisations affected by project,
analyse stakeholder expectations, effectively engage stakeholders.
