The Planning Process for Touring
Executive, Artistic, and Admin staff, and Board of Directors discuss touring options
o Have a show, have a desire to tour
o This is a non-profit model
o Get all of the decision makers in a room and talk about touring
Should definitely include Marketing staff
Board of Directors should have fiscal and best-practices oversight for the
benefit of the company
o Discuss…
Why do we want to tour?
Can we do it right now or should it be a future plan?
Does the organization have an operational budget (a season) or a project-
based budget (single show)? This will affect the budget and funding of the
tour
o Decide to tour and proceed with planning, or decide not to tour
Decide to tour: Develop tentative touring plans either in-house or with your agent
o What to tour?
Will that show be attractive to presenters?
o When, where, and for how long?
The presumption is that no one has come to you asking for you to bring
your show to them you must find your own presenters
Based on your overall cycle how quickly you can amass the finances,
resources, and people to go on tour
o Anticipated costs of touring
Dollar figure
Physical cost do you have the right people? Are they experienced
enough? Will there be enough people left “at home” to manage the rest of
your season?
o What fees will be charged?
Having an agent makes this part easier they can identify how much you
are worth
There is a difference between being presented and self-presenting
Presented: your presenter (theatre/venue) will offer you a fee (they
give you money) and some perks (ie. Accommodation or some
travel), they will negotiate some perks for themselves
Self-presented: you rent a theatre/venue (you give them money),
they may provide some tech labour or FOH/BO labour or you can
do it yourself, and you keep the profits
Identify potential presenters. Can they afford your artistic product?
o Either the product is affordable, or it is not affordable and you can either revise
the product to make it more affordable or realize that touring is not feasible for
this year
If affordable: Touring plan is “confirmed” – prepare for booking process
Note: CINARS Presenting festival in Montreal
