HR information management system (HRIMS):
A computerised system used to gather, store, analyse and retrieve data in order to provide
timely and accurate reports on the management of people in organisations.
There must be a reason for automation - linked to business strategy and achieving outcomes.
HR vs. payroll systems:
An integrated function
o Payroll and HR can be integrated to create and maintain a complete system and to
prevent unnecessary duplication of effort.
OR
Separate activities
o Payroll can be seen as an accounting system that processes a large number o
transactions while the HRIMS is used for planning and decision making.
Managing information:
Database management
o Involves the input, storage, manipulation and output of data.
Knowledge management
o Deals with an organisations ability to collect, store, share and apply knowledge in order
to enhance its survival and success.
Some examples of HR activities that can be costed and in which HRIMS can have a role in calculating
costs vs benefits:
Recruitment and selection
o Advertising expenses
o Admin costs
o Costs of interviewers time
o Employment test expenses
o Consultants fees
o Legal expenses
o Time to fill a vacancy
o Cost per hire
More examples of HR activities that can be dollar costed:
Remuneration
o Payroll costs
o Benefit costs (e.g. sick leave, maternity leave)
o Insurance premiums
HRD
o Training program expenses
o Training consultants fees
o Training material expenses (e.g. books)
Use of HRIMS:
In high-tech organisations, technology is seen as a strategic and competitive tool.
HRIMS can assist in decentralisation of time consuming and expensive HR transactions.
This result in better informed and faster decision making.
Employees can access and update their own information (low value-added activity)
Some HRIMS issues:
Flexibility: key elements to systems success and future value is the ability to use the fata in
ways that may not have been thought of when introducing the system.
